PTO Minutes November 2007

West Fork Elementary PTO
Meeting Minutes 11/05/07

The monthly PTO meeting took place in the school library on 11/05/07.  Several items were discussed.

The annual Reindeer Lane Gift Shop will take place again this year.  The store will set up in the atrium on the following dates:  Dec. 5th, 7th, 11th and 13th.  Some members marked on their registration form that they might be able to help out this year so we will contact them.  We will also get notices sent out prior to the store dates to round up more volunteers.  For those that haven’t helped out in the past, it is a very rewarding experience and fun to be around the children as they make purchases for their loved ones and friends.  The PTO does get a very small percentage of the profits but the main reason we provide this store is to give the kids a chance to shop on their own.

Jenniffer Johnson verified scheduled guest speakers for upcoming meetings.  We will have the talk on Internet safety on Feb. 4th and The Ask able Parent on March 3rd.  We still need to decide what options we will provide for childcare on those evenings so more parents can attend these informative talks.

Diane Skelton has finalized her list of clothing items needed for the benevolent fund.  Brandy Irvin will do the shopping on November 10th so we can get these items delivered to the school before the really cold weather arrives.

Treasurer’s report stated that we had some expenses since the last meeting.  We donated the funds to pay for the new laminator, which the staff loves.  The non-fiction books have been ordered and received and now are part of our library.   We collected another $10 in membership fees and made $56.36 from our first hat day.  Current balance is $2559.27.

One of our moms, Lori Toher, donated some frozen cookie dough and lemon ice to the PTO so we can have refreshments at some of the upcoming meetings.

The main item of discussion this evening was our upcoming Movie Night.  Sarah Brock has secured the required license from Movie Licensing USA so we can show “Meet The Robinsons” in the activity center on Saturday, December 8th.  This makes it legal for us to show the movie, but we will still need to rent or purchase it for the showing.   Restrictions state that we can’t charge admission greater than the cost of the movie.  Since the license was $75.00 then we decided to not charge admission fees.  We will have jars available if anyone is interested in making donations.  Mr. Thaler will work to design a form that works as a signed permission slip for those attending.  We need to ensure the security of those children attending as some adults may drop off children and we will need to make sure all get home safely.  A child must accompany all adults or older children.  Permission slips will be collected from the school prior to the event and all attendees will be checked at the door.  Those that have not signed a form will need to do so at admission.  At this time we have had some vendors donate pizzas, hot dogs and buns and additional funds for miscellaneous items.  We will check our stock for cups and napkins and look into getting sodas.  Popcorn is a must for this event also.  Tracy Roebke will make sure that a projection system is set up and in place for the 6:30 show time.

Jennifer Lunsford was in need of some additional funding for the upcoming 3rd and 4th grade Christmas play.  The sale of music tee shirts is not going as well as she would hope and is need of $300 to assist in the cost of costumes.  It was voted that we provide these funds.

Jess Goodwin is still working to get more items put on the monthly calendar.  She is trying to get the word out so we can make the best use of this communication.

Nestle Pure Life Water has a promo they are doing to collect labels that can be redeemed for sports and playground equipment.  Tracy Roebke has been in touch with Ms. Smith,
the physical education teacher, and will follow up to see if it is something that she is interested in pursuing or if PTO should head up this project.  We do have a parent that has volunteered to mail in the labels at the appropriate times.  It will just be a matter of getting people involved.

The next meeting is scheduled for Monday, December 3.
